Email - Notification Types

Need to notify members about an important update or invite your members to volunteer for event tasks and positions? Notifications are basically pre-populated templates for all your club’s alerts and email announcements. These are automatic notifications that go out from the system. They are also customizable. You can select from various NOTIFICATION TYPES depending on your needs.

This guide will take you to the email feature of Portalbuzz where you will learn how to use various notification types.

1. Click the Email icon on the navigation menu on the left.

2. In the red Administration bar, click Notifications.

3. A dropdown menu will appear. Please select a notification type from the list.

4. Choosing a template will auto – populate the subject and content box. You also have the option to edit it according to your preferences.

Note: The following examples are called variables. They represent the data that can be dynamically pulled in by the system.

  • Org unit name: {{OrgUnitName}}

  • User’s name: {{UserName}}

  • User’s email: {{UserEmail}}

  • Message subject: {{MessageSubject}}

  • Message text: {{MessageText}}

4. Enter/Edit the necessary information and click Save.

  • Club Contact – Message sent to club’s contact person when website user submits message via “Contact Us” control.

  • Committee Report Reminder for Committee Chair – This email notification will be sent by secretary to committee chair to remind them of the need to file monthly report.

  • Email Event Volunteer about Change in Volunteer Position Schedule – This email notification will be sent to event volunteer when there is a change in volunteer position schedule.

  • Event Position Signup, For Admins – This email notification will be sent to event administrators when member or guest signs up for an event volunteer position.

  • Event Position Signup, For Volunteer – This email notification will be sent to user when he is assigned an event volunteer position.

  • Event Task, Assignment – This email notification will be sent to member who has been assigned an event task.

  • Event Task Comment – This email notification will be sent to users associated with event task when new comment is posted.

  • Event Task Status Change – This email notification will be sent to users associated with an event task when task status changes.

  • Event Task Update – This email notification will be sent to users associated with an event task when task details change.

  • Event Task Withdrawal – This email notification will be sent to event task assignee who has been deassigned with the task.

  • Event Volunteer Resign – For Admins – This email notification will be sent to event administrators when member or guest is resigned from an event volunteer position.

  • Meeting Invitation – This email notification will be sent to all organization members inviting them to a meeting.

  • Meeting Responsibility Signup – For Admins – This email notification will be sent to meeting administrators when a member or guest signs up for a meeting responsibility.

  • Meeting Responsibility Signup, For Assignee – This email notification will be sent to user when he is assigned a meeting responsibility.

  • New Member Welcome Message – Email message sent to new members after they join the organization.

  • Password Reset – This email notification will be sent to members who reset their passwords. Email body can be overridden by login skin.

  • Send Invoice – Email notification to send Invoice.

  • Send Statement – Email notification to send a statement
